Overview

KePay is a self-developed product on PC and mobile that facilitates effective expenses control, employee reimbursement and financial verification, repayment, etc. since May 2018. Users are from all over the country, including personnel, financial officers and accountants. I’ve been responsible for framework design/user flow/UI style/user feedback tracking, etc. The goal has been to replace the outsourced system. KePay provides a more user-friendly experience and satisfices the group’s needs. At present, the Shanghai branch is in use, and the data shows that error rates and the time required for reimbursement review has been reduced as well as reducing the time to enter invoice.

Page layout and interactive forms can be used in multiple functions and products to accelerate development and unify user perception.

Create an Application

KePay is mainly composed of three pages: create a new application page, an application detail page, and an application list page. Including pre-payment, post-payment, repayment and other expense applications, users need to submit the applications, and then be reviewed and approved to the payment of fees to complete a reimbursement process.

Overtime Reimbursement Related Attendance

Now, the overtime reimbursement process is complicated, and it needs to cooperate with other systems to complete the application. Therefore, many application forms are not approved because of incomplete information, and even some employees gave up reimbursing. How to make employee reimbursement simple? How can the group control and predict costs more effectively? How to increase the value of Kepay?

Pain Points

  1. Employee : Firstly, unfamiliar with reimbursement rules. Secondly, there’re many rules for uploading attendance screenshots.

  2. Approver : Every reimbursement reason was written in different format, so it took time to understand.

  3. The group : Hope employees finish their reimbursement in current month.

Invoice Folder

Invoices are an important part of reimbursement. The business of invoices is independently called “Invoice Folder". Considering that a large number of staff in the group (realtors and local financial officers) are highly mobile, we also provide mobile services.The main functions are: : Enter invoice/Use invoice/Physical receiving invoice management. How invoices be used in reimbursement, the following is an example of OT meal reimbursement of an employee:

With user feedback and business expansion, several optimizations have been carried out. Invoices can be entered on the PC and mobile, and the entry method is increased.

With business expansion and historically accumulated invoices, the initial product design gradually failed to meet the demand, so several iterations have been carried out.

Reflection

  1. The design improvement of B-end products is not only improving the user experience, but also improving the performance and product logic.

  2. There’s not only one way to design product. Think about how to balance user experience, meanwhile, how to manage it globally.

  3. With the general belief that B-end systems do not pay too much attention to “design”, how to enhance the persuasion of design? For one, designers should go deeper into the business. For another, utilise data proofs or user research that can show how “design” can improve business.

 

P.S. Internal products have only small sample size of the data which is unable to accurately represent the problem. Also, regardless of the user experience, users must complete tasks for the purpose of completing their work ... user interview, usability test, and user experience map are more suitable in this case...
